Case Studies

Automation case studies, described by sector

These automation case studies and marketing projects show what our team built for clients in healthcare, insurance, immigration, professional services and partner agencies. Each one covers the problem, the fix and what changed. We keep client names private, not the details.

Automation SolutionsImmigration consultancy, Canada

Automated SEO content pipeline with bilingual reporting

Challenge
The consultancy needed a steady flow of accurate articles about immigration programs that people search for. Researching, writing, checking and publishing by hand used up expert time, and output was patchy.
Solution
We built an automated pipeline. It finds topics from search data, AI helps write drafts, and the client's experts approve or reject each draft in Google Sheets. Approved articles go to WordPress on their own, and a weekly report in two languages sums up traffic and search results.
Outcome
Publishing went from now-and-then to a steady schedule. Experts now approve and correct content instead of writing from scratch. Leaders read one weekly report in the language they prefer.
Automation SolutionsMarketing agency (partner)

White-label client intake portal for a partner agency

Challenge
A partner agency wanted to give its clients a proper digital onboarding experience. It didn't want to build and maintain software of its own.
Solution
We set up our client intake and onboarding portal on the partner's own domain, with the partner's brand throughout. Its clients onboard in a portal that looks and works like the agency's own product.
Outcome
The agency added a branded onboarding product without any in-house development. Client information now arrives complete and in order, instead of scattered across email threads.
Marketing & DigitalHealthcare non-profit

Meta ads and consolidated weekly reporting

Challenge
The organization needed awareness campaigns that reach at-risk audiences, and it had to show where its ad budget went. Results sat in separate GA4, Search Console and Meta accounts.
Solution
We run Meta (Facebook and Instagram) campaigns. We also built a weekly report that combines GA4, Search Console and ad spend, including cost per result, in one document that arrives on its own.
Outcome
Campaign decisions now come from one weekly view instead of three dashboards. The team can explain spend and results to its board and funders with far less preparation.
Automation ConsultingMedical and insurance document processing

OCR and batch processing for medical and insurance documents

Challenge
Faxed medical documents and long claims packages arrived in volume, and staff read and typed them by hand. It was slow, and it left room for typing mistakes on sensitive data.
Solution
We designed the intake and review process first. Then we set up OCR, software that reads scanned pages, for faxed medical documents, and batch processing for claims. A person checks the data before anything is accepted, and every step is logged.
Outcome
Staff now check and correct the data instead of typing it. Sensitive documents follow the same traceable path every time, and claims are handled in batches rather than file by file.
Automation SolutionsProfessional services firm

24/7 AI voice agent for inbound calls

Challenge
Calls after hours and at busy times went to voicemail. Staff also spent time screening callers who weren't a fit for the firm.
Solution
We built an AI voice assistant that answers every call, asks a few screening questions and passes the caller to the right staff member with a summary.
Outcome
Callers reach a responsive line at any hour. Staff get screened calls with notes, and fewer inquiries are lost to voicemail.
Marketing & DigitalB2B SaaS platform (IN-STORE's own product)

iOS client apps in the App Store, Android in testing

Challenge
Platform clients wanted to follow their work and respond on the go. That meant native apps that pass App Store and Google Play review.
Solution
We designed and built native iOS and Android client apps. We prepared the store listings and privacy details, handled the review submissions and published the iOS apps.
Outcome
The iOS apps passed review and are available in the App Store; the Android apps are in testing for Google Play. Clients can use the platform on their phones, and we now have a tested release process we use on client app projects.

02Our approach

How we write our case studies

We've done work for health, insurance and legal organizations, and most clients prefer not to be named. We respect that, and we won't fill the gap with made-up numbers. Each write-up comes from the people who ran the project.

No names by default

We describe each client by sector and size, never by name, logo or anything that identifies them. That protects their privacy and their place in the market.

What changed, in plain words

We describe outcomes as what changed for the team. We don't publish percentages we can't show you the source for.

Numbers under NDA

If you're seriously considering us, we can walk you through detailed results under a mutual NDA. Where clients agree, we can show you the working system itself.

What these projects have in common

The sectors differ, but the pattern is the same. Each project took away a manual step and gave leaders a clearer view. In every one, a person on our team or theirs stays in charge of the decisions. Software does the repetitive part, and experienced people check the result.

CaptureA document, call, topic or number comes in.
Capture, prepare, approve, act and report, then repeat.
Illustration of a looping automation workflow with a human approval step, the pattern shared by our case studies

A person approves what matters

Editor approval, document review and call routing all keep a person at the decision point. Automation prepares the work, and people sign off.

Data ends up in one place

Content status lives in one shared sheet, ad results in one weekly report, call notes with the right staff member. Nobody hunts across tools.

Built on systems already in use

WordPress, Google Sheets, GA4, Meta, phone lines and existing intake steps. We connect to what you have rather than replacing it.

Runs on a schedule

Reports arrive weekly, content goes out on a calendar and calls are answered day and night, without anyone having to remember.

FAQQuestions buyers ask

Frequently asked questions

Why don't you name your clients?

We've done work for health, insurance and legal organizations, and clients like these prefer to keep their vendors and internal processes private. So we describe each project by sector instead. If you're seriously considering us, we can share more under a mutual NDA. In some cases we can set up a reference call, with the client's permission.

Why are there no percentages or ROI figures on these cards?

Because we won't publish numbers we can't show you the source for. Results depend a lot on volumes, systems and starting point, and headline percentages rarely carry over from one company to another. We share detailed numbers under NDA. Our readiness assessment also builds a return estimate from your own data, not borrowed claims.

Can you build something similar for our company?

Most of these solutions are now part of our ready-made range, which is why we can set them up in days rather than months. We fit each one to your systems, approval rules and compliance needs. A short discovery call with our team is usually enough to tell whether one of these patterns fits your situation.

Do you only work in the sectors shown here?

No. These are recent examples, not limits. The same patterns, like document reading with human review, automatic reports, lead screening and voice assistants, work across busy operations-heavy sectors. That includes distribution, financial services, legal, the public sector and B2B services in Canada and the United States.

How were sensitive documents handled in the medical and insurance project?

The process was designed around access control, human review and logging. Only approved reviewers see the data, every field is checked before it's accepted, and each action is recorded for audits. We apply PHIPA, HIPAA and PIPEDA-aware practices to projects like this, and Canadian processing and storage are available on request, subject to scoping.
